Software to run a CrossFit box has to cover seven jobs: class scheduling and booking, WOD programming with benchmark scores, member billing, signed waivers, door check-in, coach-to-member messaging, and retention analytics. Most boxes end up paying three or four vendors to cover that list and then reconciling the data by hand at month end. AllStrong runs all seven from one dashboard at $99 per location per month plus $2 per active member, and every member gets the full consumer fitness app included. Here's what each of the seven has to do, and which one decides whether the software pays for itself.

What box owners compare, and what actually separates the platforms

Hardly anyone shopping for box software spends real time on the retention screen. You compare booking flows, because that's the part you touch daily and the part every demo opens with. Scheduling is table stakes now, and no platform here is going to lose you a member over it.

The difference that shows up in your bank account is quieter. It's what the software does in the six weeks between a member's attendance starting to slide and the cancellation email you didn't see coming. Most people don't realize that's a software feature at all. Usually it's the head coach noticing, or nobody noticing.

The seven systems, and what "one platform" has to mean

Class scheduling and booking. Recurring schedule templates, session generation with DST-safe timezone handling, bookings with waitlist management, and attendance tracking. Blackout dates so the system doesn't generate a 6 AM session on Christmas.

WOD programming and benchmarks. A workout library covering WOD, strength, conditioning and skill, scored by time, reps, AMRAP or weight, attached to sessions, with member results and leaderboards. AllStrong ships 117 pre-loaded benchmarks across Girls, Heroes, Strength, Endurance and Open.

Member billing. Stripe Connect direct charges with a 0.5% platform fee, ACH and card, and plan enrollment, freezes, cancellations and one-time charges handled from the dashboard instead of your inbox.

Waivers. Six types (liability, health/PAR-Q, media consent, terms, minor, custom) with versioning, renewal periods and per-waiver signing rates, so you can answer "is every active member on the current version" without a filing cabinet.

Check-in. Members scan a QR code at the door. The dashboard generates printable codes, and the app falls back to manual entry when a camera won't cooperate.

Messaging. Coach-to-member and group conversations with read tracking, mute and push notifications. This is the feature that gets your coaches' personal phone numbers back.

Retention and revenue analytics. MRR, ARR, ARPU and LTV with a 6-month trend, member breakdown by billing source, and new versus churned counts.

Cover five of the seven and you're buying two products. If you're tired of reconciling a WOD app, a waiver service, a payment processor and a website vendor across four invoices, that gap is the whole reason.

The churn screen is the one that pays for the software

AllStrong scores every member 0 to 100 on churn risk, weighted across attendance decay, booking cancellations, engagement gaps and tenure, then buckets them low, medium, high or critical. At-risk members get an automated "we miss you" push notification with a 7-day cooldown so nobody gets pestered daily.

The comparison is worth knowing. Wodify, the most established name in the box market at $149 to $249 per location per month, limits its at-risk alerts to its highest-priced plan. Zen Planner ($99-289/mo) and PushPress (free tier, Core $159/mo, Pro $249/mo) don't list churn prediction at all. On AllStrong it's in the Gym plan, not an upgrade.

Run the arithmetic yourself rather than taking anyone's word for it. A 150-member box pays $99 plus $300, so $399 a month. Divide that by your membership rate and you get the number of saves the software has to produce to break even. At most boxes that number is small enough to be uncomfortable, because it means the tool was available and sitting unused.

What it costs against what boxes pay now

PlatformListed pricingOn retention
Wodify$149-249/mo per locationCrossFit-focused and established, but at-risk alerts only on the top tier
Zen Planner$99-289/moIntegrated billing and a member app, no churn prediction listed
PushPressFree / Core $159/mo / Pro $249/moFree entry tier and solid billing, no consumer fitness app or churn prediction
AllStrong$99/mo per location + $2/active memberChurn scoring, automated interventions, and the member app included

Per-location and per-member pricing diverge sharply once you pass 100 members, so compare the unit before the headline number. If you're weighing options beyond CrossFit specifically, the gym management software overview and the gym management software all in one breakdown both cover the consolidation question.

Switching without blowing up billing day

The real objection was never price. It's the migration, and nobody wants to explain a double charge to 180 members.

Two things make that survivable. Hybrid billing tracks each member's billing source separately, whether they're on AllStrong, a legacy system, cash or comped, with a migration progress dashboard, so you move people across in batches instead of one cutover weekend. And the import tooling pulls members, attendance and billing history from 11+ platforms including Zen Planner, Wodify, PushPress, Mindbody, SugarWOD and Kilo, either by CSV upload or a Chrome extension that reads the records off the old dashboard.

The migration tools, tablet kiosk check-in and HybridAF door-access integration are all part of the Gym plan. AllStrong sells gyms one plan with every feature included, so none of them is an add-on.

For the billing side on its own, gym membership billing software goes deeper than I can here, and gym crm software covers the lead pipeline sitting in front of it.

What your members get, which is where the comparison stops being close

Every member at a gym on the Gym plan gets the full AllStrong consumer app. The free tier covers workout logging, meal logging by typing or speaking, micronutrient tracking, sleep and mood, personal records, streaks with two streak freezes a week, and wearable sync with Android Health Connect (Apple Health is planned for the iOS app). Premium features come along automatically for gym members: coaching that learns their history, barcode scanning for packaged food, structured programs, and the Insights tab that runs correlation analysis across sleep, nutrition and training.

Body composition works by photographing an InBody, DEXA or BIA printout. The app reads the numbers off the page and tracks the trend over time. It isn't a camera scan of the member's body, and it doesn't replace the machine.

Members also control what health information is shared with the gym through an append-only consent trail, and health data is encrypted at rest. Your coaches see what members agree to share, not everything the app knows.

The honest limitation

Business listings management, meaning Google Business Profile sync, directory management and review monitoring, isn't live for gyms yet. If local search was the thing you hoped to consolidate this quarter, plan around it instead of assuming.

One platform also means one vendor: fewer invoices and one set of data, against less ability to swap out a single piece you dislike.

Frequently asked questions

Do I need CrossFit-specific software, or will general gym software do?

It depends on whether you program WODs and track benchmarks. General class-booking software handles bookings fine but usually has nowhere to record an AMRAP score or a Fran time, so those end up in a second app your members also have to install. If benchmark leaderboards and WOD scoring matter at your box, buy for that first.

How much should software to run a CrossFit box cost?

Listed prices in this market run from a free entry tier up to $249 per location per month, with Wodify at $149-249 and Zen Planner at $99-289. AllStrong lists $99 per location per month plus $2 per active member. Check the unit carefully, because per-location and per-member pricing diverge sharply once you pass 100 members.

Can I switch platforms without disrupting member billing?

You don't need a single cutover if the platform supports mixed billing sources. AllStrong tracks each member as billing through AllStrong, an external system, cash or comped, so you migrate in batches and watch progress on a dashboard. Import tooling pulls members, attendance and billing history from 11+ competitor platforms by CSV or browser extension.

Does one platform really cover waivers and check-in too?

On AllStrong, yes: six waiver types with versioning and renewal tracking, and QR check-in with printable codes plus manual fallback. That matters less for the features themselves than for the invoice count. Boxes commonly pay separately for a waiver service and a check-in tool, and neither one talks to billing.
